Privacy Policy

This page explains, in plain terms, what personal information LM Indexing collects, why, and what you can do about it.

Who I am

LM Indexing is run by Lyndsay Marshall, a freelance indexer based in Aberdeen, Scotland. I am responsible for any personal information you give me. You can contact me at LM.indexing@gmail.com.

Visiting this website

Simply visiting this website does not collect any personal information about you. There are no comments, newsletters, analytics or advertising on the site. It only uses the small number of cookies it needs to work — see the Cookie Policy for details.

If you contact me

If you email me or use the contact form on this website, I receive the information you choose to send, which may include:

  • your name and company name
  • your email address and telephone number
  • details of your project (for example the book title, author, length, dates and budget)

If we agree to work together, I will also keep your postal address for invoices, and the files needed for the work.

How I use your information

I only use your information to reply to your enquiry, to carry out the indexing work you have asked for, and to keep the financial records the law requires. I never use it for marketing, and I never sell it.

Where it is kept

Messages sent through the contact form are emailed to me, and a copy is kept in the website’s password-protected admin area. My email is Gmail, so enquiries are stored privately in my Google account (see Google’s privacy policy). I read my email using Microsoft Outlook (see Microsoft’s privacy statement).

Who I share it with

No one, except HM Revenue & Customs (HMRC) where I am legally required to.

How long I keep it

Authors and publishers often return for later books, so I keep enquiry and project details unless you ask me to delete them. Invoice records, including names and addresses, are kept for at least seven years to meet HMRC requirements.

Your rights

You can ask to see the information I hold about you, ask me to correct it, or ask me to delete it (apart from records I must keep by law). Just email LM.indexing@gmail.com.

If you are unhappy with how I have handled your information, you can complain to the Information Commissioner’s Office (ICO).
